"Rising From the Flood" Kelly's Ford Horse Trials May 17, 2014 Schedule

The Show Grounds of Kelly's Ford was flooded on May 1, 2014 from the Rappahannock River overflowing its banks! With over 75% of the cross-country course under water and 50% of the obstacles displaced and damaged, we have been "Rising from the Flood!" ever since that day! Thank you to all who have been helping us get back in shape to run the Kelly's Ford Horse Trials on Saturday May 17, 2014!

This purpose of this e-mail is to solicit volunteers, supply detailed information, and to get a confirmation from you on the position you would like to participate in (Please respond to kellysfordequest@aol.com and Do Not Reply All). We mainly need Jump Judges, Dressage Scribes, Score Runners, Parking Attendants, Bit Check, Safety Check, etc... The following schedule has been set up to help facilitate efficiency and professionalism in management of this USEA Recognized Event. We have been a making a conscientious effort to improve customer service the inception of this event. For those who have never volunteered before or those who want more details about a job description, you are welcome to call the organizer, Jim Moore, at (540) 522-1017. A final roster of positions with be emailed early next week.

On Saturday May 17, all volunteers need to check in at the Secretary Tent. Jump Judges will be assigned radios, pinneys to wear that say "Jump Judge", and clipboards with jump assignments starting at 7:45 a.m. You will be trained at the 8:00 am briefing. All volunteers for other positions are welcome to check in as early as 7:00 a.m. to pick up name badges & clip boards with assignments. For those of you that are coming to set up as Vendors, Jenna Calcaterra will in the area to direct you to the appropriate space for easy access for patrons starting at 7:00a.m. on Saturday, but you are also welcome to come in Friday afternoon anytime. We will have coffee and breakfast items for sale starting at 8:00am. at the "Snack Shack".
Except for the X-C Jump Judges, Dressage Judges and the Show Jumping Judge (who will be brought their lunch by our Hospitality Chairman); all other Officials, KFEC Staff, and additional Volunteers will be supplied a red ticket to exchange for lunch at the "Snack Shack". A Chef from the Inn at Kelly's Ford will be grilling burgers, hot dogs, bratwursts, chicken breasts, etc. on site for the show. Please check in at the Secretary’s Tent for your lunch voucher. Also please make sure there is coverage in your job whenever you take a break for lunch.

Timeline:
7:00 am. Emergency Personnel at their post below the Control Tower. (Safety Coordinator, Ambulance Crew, & Veterinarian). Farrier at his post in Parking Field (Side gate to Show Grounds behind Dressage Arenas).

7:30 am—Dressage begins with Preliminary Level in Arena 1, Open Training Level in Arena 2, and Senior Training Level in Arena 3. Dressage personnel need to be at their posts by 7:15 am.

8:00 am—X-Country Jump Judge Briefing by Technical Delegate, Controller, and X-Country Steward for all Jump Judge Volunteers at the Scoreboard in the Secretary's Tent within the Vendor Area followed by disbursement to assigned jumps at 9:00 am (Radio roll call at 9:30 am and the first horse on the X-C course at the Preliminary Level at 9:45 am.).

9:15 am—Show jumping begins with Preliminary Level, Training Level, Novice Level, Beginner Novice Level, Starter Level, then Introductory Level, with 10 minute breaks between Levels for Official Course Walking. Arena will be open until 9:00 am for the Preliminary Level Course Walk. Show Jumping personnel need to be at their posts at 9:00 am.

9:45 am—X-Country begins with Preliminary, Training Level, Novice Level, Beginner Novice Level, Starter Level, than Introductory Level with breaks between Levels for use of the restroom. There will be a Jump Judge radio roll call every time Levels change. Jump Judges will be brought lunches at noon by a courier and there will be strategic Port-A-Potties to be used in Level breaks (If a Jump Judge has an urgent restroom need or other emergency, the Chief Jump Judge will fill in if you call on the radio to the Controller).

5:30 pm. ish—After completion of the last X-C ride, a "Thank You Party!” to all Volunteers, Officials, Competitors, & KFEC Staff at the Secretary’s Tent! (Sponsored by Prestige Training, LLC)

*Note: All Volunteers will receive a complementary voucher for one of the following: facility use, riding lesson, trail ride, canoe or kayak trip, or T-Shirt! If you have not already been assigned a specific job please come to the 8:00 Jump Judge Briefing and we will probably need and use you! We will be running this horse trials no matter what the weather holds (unless it's another natural disaster!), so please remember to dress appropriately!
